Rules and Regulations and Terms and Conditions

General provisions

Article 1:

Chalet des Aiglons in Val d’Isère is managed by a Director under the authority of SEM SOGEVALDI – Val d’Isère Tourisme.

In Winter: Chalet des Aiglons welcomes children aged 3 to 11 (inclusive) to the Kids’ Club, and from 12 to 36 months to the Nursery.

In Summer: Chalet des Aiglons welcomes children aged 3 to 13 (inclusive) to the Kids’ Club, and from 18 to 36 months to the Nursery.

Chalet des Aiglons :
➢ Supports child care in complementarity with family and school life.
➢ Contributes to the physical, intellectual, and moral development of the child through a variety of offered activities (artistic, cultural, sports, early learning, etc.)
➢ Fosters the child’s personal growth and development through group and community life.
➢ Enables children to discover new activities directly related to the local environment

Article 2:

SEM SOGEVALDI has taken out Professional and Public Liability Insurance covering all registered children and all organized activities.

Regarding ski activities, you must purchase a “Carte Neige” (ski insurance card) to ensure your child is covered.

Please note that your child is not insured for skiing by Chalet des Aiglons, nor by the ESF (French Ski School).

Article 3:

The management of Chalet des Aiglons is overseen by a Director holding a DESJEPS diploma (State Diploma in Youth, Popular Education, and Sport Management).

The management of the Kids’ Club is overseen by a Team Leader holding a BAFD diploma (State Certificate for Director of Holiday and Leisure Centres).

The management of the Nursery is overseen by a Team Leader currently completing a VAE (Accreditation of Prior Experiential Learning) for an EJE diploma (Early Childhood Educator).

Article 4:

During the winter season, Chalet des Aiglons is open from Sunday to Friday, from 9:00 AM to 5:30 PM.

Weekly closure on Saturdays.

The reception desk will be closed between 12:00 PM and 2:30 PM.

During the summer season, Chalet des Aiglons is open from Monday to Friday, from 10:00 AM to 6:00 PM.

Closed on weekends

The reception desk will be closed between 12:00 PM and 1:30 PM.

Article 5:

Staff recruitment is the responsibility of the Chalet des Aiglons management.

The team consists of qualified, certified, and skilled professionals across all fields of activity: reception, childcare & activities, hospitality, housekeeping, and maintenance.

Admission Requirements

Article 6:

Registration must be completed in advance: online, on-site, or, in certain cases, by email or post.

Article 7:

The registration file must include:
➢ A registration form
➢ A health and medical information form (with up-to-date vaccination records) and a liability waiver
➢ A copy of the Rules and Regulations, along with a signed acknowledgement of receipt and understanding by the parents
➢ An ID card or a family record book
The registration is only finalized and validated once full payment has been received and all required documents have been submitted.

Article 8:

For every drop-off, parents must report to the reception desk to check in their child and settle the payment. Anyone who drops off their child via the upper floors without going through the reception desk may be denied access to Chalet des Aiglons.

Article 8bis :

For children under 3 years old, we are unable to arrange an adaptation period. However, on the first day, we reserve the right to call parents back in the event of a difficult adaptation, so that they can pick up their child as quickly as possible for their own well-being. A new attempt will be offered the following day. If this second attempt also proves unsuccessful, the Chalet des Aiglons management may decide to discontinue welcoming the child, in accordance with the conditions set out in Article 11: Termination Clause.

Article 9:

The child may only be entrusted to his or her parents; if necessary, the parents must systematically specify in writing the name of the person likely to

General Terms and Conditions of Sale and Financial Provisions

Article 11 : Guarantee and Refund Policy

For any purchase of services at Chalet des Aiglons, an optional insurance plan is offered by our services at the rate of €35 (thirty-five euros) per child in Winter, €14 (fourteen euros) per child in Summer.

The aforementioned guarantee entitles the client to claim a refund for the costs of the selected option under the following conditions:

More than 60 days’ notice: Full refund with no conditions and no cancellation fee (excluding the cost of the insurance).
Between 59 and 30 days’ notice: Refund with no conditions, subject to a 50% cancellation fee (excluding the cost of the insurance).
Between 29 and 0 days’ notice: Refund with no conditions, subject to a 75% cancellation fee (excluding the cost of the insurance).
No advance notice: 100% refund (excluding the cost of the insurance) in the event of illness, death, or accident, upon presentation of supporting documentation.
The refund for services will be made pro rata temporis, calculated based on the number of remaining days as of the date of the cancellation request (accompanied by one of the supporting documents mentioned above), if and only if the insurance was purchased at the time of registration.

For any other reasons, or if the insurance was not purchased, the booking fees incurred will not be refunded and will be retained by Chalet des Aiglons.

RIGHT OF TERMINATION

A- At the Client’s Initiative:

The client may cancel their booking at any time. This termination must be requested in writing by standard mail sent to the Chalet des Aiglons address. The client shall only be entitled to a refund if and only if they opted for the insurance plan offered at the time of purchase, and solely in accordance with the conditions set out in Article 11, Section: Guarantee and Refund Policy.

B- At the Initiative of Chalet des Aiglons:

The booking may be terminated as of right by the Chalet des Aiglons management for the following reasons:

  • In the event of non-compliance with the center’s Internal Rules and Regulations.
  • In the event of non-payment.In the event of an incomplete registration file (Article 7).
  • In the event of a child failing to adapt to the center (Article 8bis).
  • In the event of a child showing symptoms of a contagious illness that poses a risk to other children (Article 13).
  • In the event of fraud regarding the child’s health status.
  • In the event of arrival outside of the designated drop-off and pick-up hours (Articles 21 and 22).
  • In the event of termination at the initiative of Chalet des Aiglons for one or more of these reasons, the registration fees collected may be retained by Chalet des Aiglons, without prejudice to its right to initiate any legal proceedings it deems necessary.

Medical Records and Health Monitoring

Article 12:

A medical file is created and updated for each child upon admission. It includes:

  • An updated copy of the vaccination records for mandatory immunizations (according to the vaccination schedule established by the French Ministry of Health) and those recommended for group settings.
  • Up-to-date information regarding allergies, medical conditions, surgical history, and hospitalizations.

In the Event of Illness:

For the information of the management and the staff, it is necessary to report any symptoms of fever.

In the case of temporary or chronic medical treatment, parents must provide both the prescription and the exact required quantity of medication. These must be handed over to our nurse, who is the only member of the team authorized to administer treatment.

Any discontinuation or modification of a treatment must be reported to the staff, as well as any medication taken outside of the center’s hours, in order to comply with dosage requirements. A child on antibiotics will only be allowed to return to the facility after a 48-hour exclusion period starting from their first dose, except in the case of ear infections (no exclusion required). As Chalet des Aiglons does not provide childcare for contagious children, a medical certificate of non-contagion is also required.

Admission in the morning is strictly conditional on a body temperature below 38°C (100.4°F).

In the Event of an Emergency :
The names of the emergency contacts must imperatively be included in the medical file. It must also contain authorizations for transport by emergency medical services (SAMU), hospitalization, and surgical intervention.

Article 13:

Upon the advice of our referring doctor, the Chalet des Aiglons management reserves the right to refuse admission to a child showing symptoms of a contagious illness that poses a risk to other children. Parents will be informed as soon as possible.

If a child is undergoing medical treatment and medication must be administered to them, the Chalet des Aiglons nurse must be provided with the prescription and the treatment. Failing this, we will be unable to administer their treatment.

Article 14:

If a child becomes ill or has an accident during the day, the Chalet des Aiglons management will take all necessary measures (contacting a doctor or the fire and rescue services) and will notify the parents as quickly as possible.

Items to be Provided

Article 15:

Parents are required to provide:

  • A change of clothes (depending on the child’s age: onesie/bodysuit, underwear, socks, pants, t-shirt).
  • Indoor clothing: a pair of slippers, leggings or tights, so that the children can take off their snowsuits, which may be wet depending on the weather.
  • Outdoor clothing: suitable snow boots, a warm snowsuit, gloves/mittens, a beanie/warm hat, sunscreen, sunglasses…
  • Nappies: please provide an adequate supply for the week from the very first day: an average of 1 nappie per half-day, which means about fifteen nappies for the week.
  • Comfort item(s) (Doudou), pacifier(s), and a sleep sack/sleep bag if needed.

Article 16:

All items must be clearly labeled with the child’s name (shoes, gloves, beanie, sunglasses, etc.). The Chalet des Aiglons staff shall not be held responsible for the loss or theft of any unlabeled clothing or personal items.

Daily Life at the Chalet

Article 17:

The lunches served at Chalet des Aiglons are prepared by the Val d’Isère central kitchen and are delivered via cold chain. The food provided to the children will be varied and balanced, both in terms of quantity and quality. Lunches are fully adapted to their age.

Article 18:

Lunches and snacks are included in the daily rate. In the event of a special diet (specific allergy or specific dietary regime), parents will be asked to provide the meal, clearly labeled with the child’s name.

Article 19:

Nap times or rest periods are arranged for the children after lunch, in accordance with their individual rhythms. To respect each child’s sleep patterns and bedtime rituals, please do not hesitate to share their “little habits” with us! For the nursery and for children leaving at 2:30 PM, they will be woken up upon their parents’ arrival.

Article 20:

The activity and outing program is developed by the animation team based on the pedagogical project, which is made available to you by the management. We ensure that this program is balanced and adapted to individual ages and rhythms. It is implemented within a secure environment, helping to support children in their life-learning process while ensuring a high-quality service.

Indoor activities: music, creative movement, wall murals, painting, face painting, salt dough, storytelling, small crafts, etc.
Outdoor activities: sledding, igloo building, snowmen, etc.

Organisation

Article 21:

Winter season

Kid’s Club, drop-off and pick-up times will take place during specific slots:

From 9:00 AM for morning drop-off
At 12:00 PM for midday drop-off/pick-up
From 2:30 PM for afternoon drop-off                                                                                                    Closing at 5:30 PM

If these conditions are not met, the Chalet des Aiglons management reserves the right to refuse admission to the child.

Children who leave for ski lessons at 9:30 AM must arrive at Chalet des Aiglons no later than 9:00 AM, fully dressed and with all necessary equipment. If these conditions are not met, the staff may decide to either refuse admission to the child or keep them at Chalet des Aiglons for activities, subject to an additional childcare fee, and provided that supervision ratios allow. Indeed, we cannot assign a staff member to accompany a late child to their ski lessons.

Nursery, drop-off and pick-up times will take place during specific slots:

From 9:00 AM to 10:00 AM for morning drop-off
From 11:45 AM to 12:00 PM for midday drop-off/pick-up
From 2:30 PM for afternoon drop-off                                                                                                    Closing at 5:30 PM
If these conditions are not met, the staff reserves the right to refuse admission to the child.

Article 22:

Summer season

Kid’s Club, drop-off and pick-up times will take place during specific slots:

From 10:00 AM for morning drop-off

If these conditions are not met, the Chalet des Aiglons management reserves the right to refuse admission to the child.

Article 23:

Access to the staff room is strictly prohibited for anyone not employed at Chalet des Aiglons.

Article 24:

Parents with children enrolled in ski lessons must drop them off or pick them up at Chalet des Aiglons.

For obvious safety reasons, if they wish to go directly to the ESF meeting point, they must notify the Chalet des Aiglons management in advance and collect a bib.

Staff medical surveillance and common sense

Article 25:

Prior to taking up their duties, all staff members must be up to date with their vaccinations. A medical check-up with the Occupational Health Service will take place during the winter season for new seasonal workers, and every two years for returning staff.

Article 26:

Any concerns or feedback should be discussed directly with the management in their office.
